Job Summary: The office manager position is responsible to assist and support the executive team in daily operational functions. In addition, provide for overall front office activities, including managing reception functions, mail, large purchasing requests and facilities. Responsible for arranging internal office moves and providing arrangements for office meetings and general customer service support.



Essential Functions:
1.Welcomes current and prospective tenants and visitors by greeting them, in person or on the telephone; answering or directing inquiries
2.Responsible for maintaining human resource policy and procedure functions to include insuring adherence to all policies and procedures outlined in the employee handbook, hiring and onboarding process of new personnel, employee development and training programs and other initiative as direct by the executive team
3.Inputs data into software platform
4.Performs bookkeeping functions, including Accounts Payable, Accounts Receivable and bank reconciliation
5.Assists with basic marketing functions
6.Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
7.Designs office workflow procedures to ensure maximum efficiency and productivity
8.Develops effective filing systems and maintains all files and records
9.Ensures all relative policies and procedures are implemented in the office at all times
10.Supports other teams with various administrative tasks (redirecting calls, disseminating correspondence, scheduling meetings etc.)
11.Monitors office expenditures and handles all office contracts (rent, service, etc.)
12.Deals with tenant complaints or issues as necessary and resolves them in a timely manner
13.Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
14.Assists in vendor relationship management as necessary
15.Maintains executive team鈙 appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
16.Maintains confidentiality with all sensitive materials
17.Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
18.Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
19.Contributes to team effort by accomplishing related results as needed
